How to ask a customer for a deposit, with wording you can copy
How a deposit works, how much to ask for, and exactly what to say when you ask, for appointments, custom orders and events. Plus how to collect it without chasing anyone.

Asking for a deposit feels awkward the first time. It shouldn't. A deposit tells a customer their time or their order is really theirs, and it lets you buy materials and plan your week with confidence. Most customers expect it. The trick is to ask clearly, early, and in the same way every time.
How does a deposit payment work?
A deposit is part of the price, paid up front. It does two jobs:
- It confirms the booking or order. Once it is paid, the time or the item is held for that customer.
- It comes off the final bill. If the service is $120 and the deposit was $30, the customer pays $90 on the day.
Your policy decides what happens to the deposit if plans change: whether it is refunded, moved to a new date, or kept. Write that policy down and show it before the customer pays.
How much should a deposit be?
There is no single rule, but these are common starting points for small businesses:
| Type of work | Common deposit |
|---|---|
| Hair, nails, lashes, brows | A fixed amount, like $20 to $50 |
| Tattoos | A fixed amount that goes toward the session |
| Custom orders and cakes | Around half the price, to cover materials |
| Events, catering and photography | 25% to 50% of the total |
| Lessons and training packages | The first session, or a fixed amount |
A good test: the deposit should cover what you would lose if the customer disappeared, such as materials already bought or a time slot you could have filled.
How do I ask a customer for a deposit?
Keep it short, friendly and specific. Say the amount, what it secures, when it is due and how to pay. Do not apologize for it.
For an appointment
Hi Jess! I have you down for a full set on Friday at 2pm. To lock in your spot, I take a $25 deposit, which comes off your total on the day. You can pay it here: [link]. Once it's in, you're all set.
For a custom order
Thanks for your order! The total for the 3-tier cake is $240. I ask for a 50% deposit ($120) to start, which covers the ingredients and reserves your date. The remaining $120 is due at pickup. Here's the link to pay the deposit: [link].
For an event
Thank you for choosing us for your wedding on June 14! To reserve the date, we take a 30% deposit of $600. The balance is due one week before the event. Our policy and payment link are here: [link].
When the deposit is non-refundable
Just so you know, deposits are non-refundable, but you can move your appointment once with at least 48 hours' notice and your deposit carries over.
What is a good sentence for a deposit?
If you only need one line, use one of these:
- "A $25 deposit secures your appointment and comes off your total."
- "Your date is reserved once the deposit is paid."
- "I take 50% up front to start custom work, and the rest on pickup."
- "Deposits can be moved to a new date with 48 hours' notice."
How to request a deposit without chasing anyone
The awkward part is rarely asking. It is the follow-up: "Did you send it?", checking your apps, and matching a payment to a name. Three habits fix most of it:
- Ask at the moment of booking, not days later. People pay most readily when they have just decided.
- Send a link that fills in the exact amount, so nobody sends the wrong figure or forgets the note.
- Set a deadline. "I'll hold this time until 6pm today" is polite and clear.
Taking deposits on Utilica
Utilica builds those habits into your booking page, so the deposit is part of booking, not a separate conversation:
- Set the deposit once, as a fixed amount or a percentage, per service. Or ask for the full price, or nothing.
- The customer pays while they book, in Cash App, Venmo, PayPal or Zelle, with the deposit already filled in. The money goes straight to you, and we take no fee on it.
- Unpaid times are held, then released. You choose how long to hold a time: 30 minutes, an hour, two hours or a day. If the deposit doesn't arrive, the time opens up again by itself.
- Your policy is on the booking sheet, so customers see it before they press Book.
